How to Choose Jewellery Management Software: A Checklist for Jewellers

What to check before buying software for billing, stock, karigars, HUID and savings schemes.

Generic billing or inventory software rarely works well for jewellers. Your stock is measured by weight and purity, prices change with metal rates every day, making charges vary by design, and gold moves between your counter, your karigars and your hallmarking centre. The right jewellery software handles all of this accurately and quickly.

1. Tag-Wise Stock Control

Every piece should be tracked individually with:

  • Barcode or RFID tag.
  • Gross weight, net weight and stone weight.
  • Purity and metal type.
  • Stone details and charges.
  • Making charges and wastage.

Ask how fast the counter staff can find a piece and how stock audits work.

2. Billing With Live Metal Rates

  • Can you update gold, silver and platinum rates daily in one place?
  • Does billing calculate value from weight, purity and current rate automatically?
  • Does it support different making charge methods: per gram, percentage or fixed?
  • Are GST invoices generated correctly, including stone and other charges?

Confirm the GST treatment for your specific transactions with your CA, and check that the software can be configured to match.

3. Old Gold Exchange

Customers frequently exchange old gold. The software should record purity testing, weight and value, and adjust it directly against the new purchase on the same bill.

4. Hallmarking and HUID

Hallmarked gold jewellery carries a unique HUID. Your software should store the HUID and hallmark details against each tagged item for traceability and quick lookup.

5. Karigar and Job Work

  • Issue and receipt of metal to karigars.
  • Wastage tracking per job.
  • Pending work and due dates.
  • Karigar-wise balances.

Without this, metal reconciliation becomes a monthly headache.

6. Gold Savings Schemes

If you run monthly schemes, check that the software manages enrolment, instalments, reminders, maturity and redemption, with clear customer statements.

7. Customers and Orders

  • Customer profiles and purchase history.
  • Custom orders with advances.
  • Birthday and anniversary reminders for repeat business.

8. Multi-Branch Support

For chains, check stock transfers between branches, consolidated reports and branch-level permissions.

9. Reports That Matter

  • Stock by weight, purity and category.
  • Daily sales and cash summary.
  • Karigar balances.
  • Old gold received.
  • Slow-moving stock.
"In a jewellery business, a few grams of error can wipe out a day's profit. Accuracy is the first feature."

Questions to Ask in a Demo

  • Can you show a full sale with old gold exchange and a discount?
  • How do you handle a returned or exchanged item?
  • How is data backed up, and what happens if the internet goes down?
  • How long does setup take, including tagging existing stock?
  • What training and support do you provide?

Plan the Migration

Tagging and entering existing stock is the biggest setup task. Plan it in stages, by category or display counter, and do a full stock verification before going live.
