Tally is widely used for accounting and GST in India. As businesses add CRM, ERP, e-commerce or custom software, a common question arises: how do we connect these systems to Tally so data is not typed twice?
This article explains the common approaches. The right method depends on your Tally version and licence, your other software and how much data needs to move.
What Data Usually Flows
From CRM or ERP to Tally
- Sales invoices.
- Customer ledgers.
- Purchase invoices and supplier ledgers.
- Receipts and payments.
- Stock items, if inventory is maintained in both.
From Tally to CRM or ERP
- Outstanding balances for customers.
- Payment status of invoices.
- Ledger balances for credit control.
Decide which system is the master for each type of data, to avoid conflicts.
Common Integration Methods
XML Over HTTP
Tally can be configured to accept and respond to requests over HTTP using its XML format. External software sends vouchers or masters to Tally, or requests reports and data. This allows near real-time integration when Tally is running and reachable on the network.
ODBC
Tally supports ODBC access to read data, useful for reports and pulling information into other systems.
Import Files
Data can be exported from your CRM or ERP in a format Tally can import. This is simpler but less automated.
TDL Customisations
Tally Definition Language customisations can add fields, reports or behaviours inside Tally, sometimes used alongside integrations.
Third-Party Connectors
Some tools provide ready connectors between Tally and other platforms.
Practical Considerations
- Tally usually runs on a local machine or server. For cloud software to reach it, plan secure connectivity or a small connector service on the local network.
- Ledger names, stock item names and tax ledgers must match between systems.
- Handle failed syncs with logs and retry options.
- Avoid editing synced vouchers manually in both systems.
- Test GST calculations to ensure totals match exactly.
"Integration is not just a technical connection. It is an agreement about which system owns which data."
A Sensible Rollout
- Map ledgers, items and tax rules.
- Start with one data type, such as sales invoices.
- Run parallel checks for a period.
- Add more data types once the first is stable.
Common Questions
Can Tally sync in real time? Near real-time sync is possible with HTTP-based integration if Tally is running and accessible. Many businesses sync at intervals instead.
Will our accountant need to change how they work? Ideally not. The goal is for vouchers to appear in Tally correctly, so the accountant continues as usual.
What if Tally is closed when data is sent? A well-designed integration queues data and retries when Tally becomes available.
